Descriptions of Adult Roles

Listed below is a general list of the adult positions in the Troop.  This list is currently under revision so some of the jobs may change.  If you are interested in a position, please see Mrs. Prewitt or Dr. Carr.

 Adult Leadership  Over-all Functions

Scoutmaster

  Responsible for training and guiding youth leaders in the operation of the troop, and for the managing, training, and supporting of the assistant Scoutmasters in their role.

  Give SM conferences to all Scouts

Troop Committee Chair

  Organize the committee to see that all functions are delegated, coordinated, and completed

  Authority to appoint and remove all other persons holding committee positions

  Accountable for the performance of all persons holding committee positions in completing their appointed functions

  Call, preside over, and promote attendance at monthly Troop committee meetings

  Prepare Troop committee meeting agenda

  Maintain a close relationship with the chartered organization representative and the Scoutmaster

  Ensure Troop representation at monthly District Roundtable

  Arrange for charter review and re-charter annually

Commissioner

  Provide Liaison between District, Council, & Troop regarding policies and procedures

AssistantScout Master

  Act as SM when active SM is not available:

  • Troop Meetings
  • Patrol Leader(s) Conference
  • Provide overall direction to troop senior leadership positions (SPL, ASPL)

  Appoint Troop Guides and Instructors as necessary to support the First Class Emphasis

  Give SM conferences to all scouts

Assistant Scout Master - First Year

  Provides supervision at Troop meetings and outings

  Follows up on advancement of first year scouts on their trail to first class.

Life-to-Eagle Advisor

  Provide direction to scouts who have achieved the Life rank in achieving their Eaglerank.

  Meet with senior scouts to identify individual requirements to be accomplished and how to best complete them in a timely fashion.

  Identify any individual issues that may hinder boys achieving Eagle rank and what additional support is required.

Board of Review Coordinator

  Recruit adults (minimum 3) for the Boards of Review to review and support the Scouts in their advancement.

  Provides to the Advancement Chairman the signed disposition of the individual BOR

Advancement Chair

  Process rank advancements, merit badges and other awards through Council

  Provide Board of Review eligibility lists to BOR Chair, SM, and ASM’s for conference and board scheduling

  Provide coaching to Troop Scribe (rank advancements)

  Provide lists of Scouts not progressing to ASM’s for counseling those individuals

  Purchase awards from Scout Shop

Troop Database Administrator

  Maintain Scout and Adult membership dataLog into TroopMaster Database:

  • Scout advancement(s) and Merit Badges achieved
  • Training received by all members
  • Troop/patrol positions
  • Outing/meetings schedules and attendance

  Provide summary printout of troop to SM/Board of Review coordinator (Name, birthday, current rank, what’s needed for next advancement) every quarter.

Troop Quartermaster Coordinator

  Supervise Troop Quartermaster(s) and maintains the Troop equipment in clean and good working order

  Makes recommendations on replacing worn, broken or missing equipment or adding new equipment as necessary

  Replaces consumable supplies used to support troop meetings and outings

  Maintain the Troop trailers and storage shed with the assistance of the Troops Quartermasters

  Maintains the adult patrols boxes and equipment

Quartermaster- new/used uniforms

  Manage troop surplus uniforms

  Manage troop activity cloths (t-shirts, hats, etc.)

Troop Committee Secretary

  Take minutes from Parent Meeting

  Distributes the minutes at each Committee meeting

Treasurer

  Collect troop monies, cut checks, provides financial summary

Membership Chair

  Collect Scout and Adult applications and fees and process through Charter organization

  Provide coaching to Troop Scribe & Patrol Scribe(s) (money collection and attendance)

  Process annual re-chartering package each fall

  Manage Scout Camp Funds

Training Chair

  Maintain status of all adult training

  Provide liaison to District and Council training committees and websites for updating adults as to training opportunities

Community Service Chair

  Gather annual information on troop service projects­ type of service project (troop, patrol, eagle, etc)­ total service project hours

  Provide Service hours to troop re-charter coordinator

Chaplain

  Provide guidance to Troop Chaplain’s Aid

Recruitment Chair

  Maintain contact with local packs

  Identify opportunities for assigning Den Chiefs

  Coordinate troop/pack visits and bridging

Fundraiser Chairman (popcorn)

  Identifies and coordinates fundraisers as needed to maintain the troops treasury

  Recruits adults to supervise the even

  tEnsures all information (flyers, newspapers) are distributed so all scouts and public are aware of the event

Corporate Sponsor Chairman

  Identifies sponsors who will sponsor the troop in a specific event or as needed to maintain troop funds or equipment

Meeting Refreshments Coordinator

  Parent meetings - Provides snacks, cold drinks and makes the coffee (provided)

  Troop meetings - Provides snacks, cold drinks and makes the coffee (provided)

Court of Honor

  Programs - Writes the Court of Honor program and makes copies

  Refreshments - Writes the flyers and hands out at the Troop meetings

  Sound director - provides the sound equipment

Camping Committee Chair

  Track troop camping trips and attendance

  Complete Camping Awards Application(s)

High Adventure Chair

  Maintain level of training necessary for all High Adventure outings

  Sign certifications for High Adventure Awards earned by the Troop.

Outing Committee Chair

  Track troop non-camping events and attendance

  Complete Awards Application(s)

Tour Permit Coordinator

  Maintain list of Youth Protection trained adults for all outing

  Maintain list of Safety Afloat and Safe Swim Defense trained adults necessary for all water-related outings

  Maintain list of all qualified firearms instructors (rifle, shotgun, archery) necessary for those outings

  Attain appropriate Tour Permit signatures and stamps prior to all outing

  Maintain records for all Tour Permits used after the outings

Summer Camp Chair

  Attend troop summer camp discussion meetings (committee)·Obtain Summer Camp info packages and distribute to troop·Coordinate collection of required medical forms and authorization forms

Popcorn Sales Chair

  Attend district coordination meetings·Coordinate the Troops activity in selling Popcorn

Scouting for Food Chair

  Attend district coordination meetings

  Coordinate the Troops activity in Scouting for Food

Pancake Breakfast Chair

  Coordinate all functions of this activity

Scout-O-Rama Chair

  Coordinate all functions of this Annual Council event in May

Camporee Chair

  Attend district coordination meetings

  Coordinate troop support of Camporee

  Prepare flyers, Permission Slips and distributes at Troop meeting, collect all money

Christmas Party Coordinator

  Coordinate with the Patrol Leaders Council on what they want to do for their Christmas Party

Church Cleanup Coordinator

  Coordinate monthly activities if the calendar permits

Adult Outing Coordinator(s)

  Plan the outings for the troop relative to fees and prices, travel directions, outing site rules/restrictions, flyers, signup sheet

  Coordinate with adult attendees for transportation and meals

  Coordinate monies and meal planning for adults and Patrols

  Attain appropriate Tour Permit signatures and stamps prior to all outing

  Suggest activities, training, events to do on outings

Drivers

  Drives scouts as needed to event

Troop Webmaster

  Keeps the troop website up to date
